Industry estimates claim that 10-30% of all building project costs can be attributed to waste, such as wasted labor time, wasted materials, inaccurate
estimates, field change orders and unnecessary litigation1. However, there is an effective solution to this problem that is often overlooked by
construction industry professionals - the use of color in construction documents.

General contractors typically enter the building project well after the project owner has approved the building designs. This often results in built-in
contingency costs by contractors and subcontractors to mitigate the risk of insufficient design details. In fact, for moderately complex building
projects, contingencies of 10 to 20 percent are considered common without the use of color 2D construction documents3. It stands to reason that
if contingencies could be reduced – by improving the speed and accuracy of estimating – general contractors would have an opportunity to win more
business and increase their revenues.
By incorporating color construction documentation during the planning and bidding phase of a project, the total number of estimation cost contingencies
can be reduced. Color allows for more accurate coordination and compliance review, as well as savings from more accurate coordination of services
(i.e. mechanical, electrical and plumbing). Providing clear, color-coded construction drawings to subcontractors can also result in more accurate job
costing and lower bids by subcontractors.
Project Turn-Around Time – Shorter Project Schedules Delivered Under Budget
Incorporating more accurate color construction documentation can help to ensure that communication between all stakeholders is improved, while
also increasing value to the owner, reducing waste and maximizing efficiency through all phases of design, fabrication and construction. Additionally,

Four New Models

Océ Arizona 460 GT and Océ Arizona 460 XT models include six independent ink channels with the first four configured for standard CMYK printing.
Channels five and six can be configured in two ways that offer flexibility to meet the demands of various jobs:
• Varnish + White: Using white ink, print service providers can produce exceptional quality prints on a variety of non-white substrates – including backlit
prints – that can command premium prices. Varnish can be used as a spot or flood decorative element for attention-getting results at high-value prices.
• Double-White: Alternatively, when not required for use in printing varnish, the sixth channel can be used as an additional white ink channel to provide
double the opacity in a single printing pass for higher productivity when printing white ink jobs. This is particularly beneficial for backlit and industrial
applications.
Print service providers can use these two channels in whichever configuration best suits their needs, changing from Varnish + White to Double-White
(and vice versa) as needed.
Océ Arizona 440 GT and Océ Arizona 440 XT models include CMYK ink channels only. This is ideal for those shops that do not initially need the
capacity for Varnish or White Ink printing or already have that capability elsewhere but just need to increase CMYK capacity.

cyan and magenta nozzle capacity offers Production print modes that rival the slower Quality-oriented modes in terms of sharpness, uniformity and

Meet nearly any application need
The Océ Arizona 400 GT models offer the standard table size of 1.25 by 2.5 meters (49.2 by 98.4 inches) and the Océ Arizona 400 XT models offer the
extra large table size of 2.5 by 3.05 meters (98.4 by 120 inches). Both can print on rigid media up to 50.8 mm (2.0 inches) thick. A Roll Media Option is
available for both models to print on flexible media up to 2.2 meters (86.6 inches) wide.

Active pixel placement compensation for assured image sharpness
Océ Arizona 480 GT and Océ Arizona 480 XT models use Océ’s new active pixel placement compensation to assure image sharpness, density and
uniformity, whether it is printed on the flatbed or on the Roll Media Option. This is achieved by dynamically adjusting the location of individual pixels to
account for localized variations in flatbed or platen height.
Precise vacuum system
There are six vacuum zones on the Océ Arizona 480 GT printer and seven on the Océ Arizona 480 XT printer. These zones have been configured to
match the majority of standard-sized graphic arts media to reduce or eliminate manual masking, thereby decreasing operator intervention and
increasing productivity.
Batch mode
Complex, multi-layered jobs – those requiring multiple passes to achieve the desired results – can now be streamlined using the new batch mode tools,
reducing operator intervention. Batch mode can also be used to produce sets of prints (e.g. 50 items on 36” x 48” media and 30 items on 4’ x 8’
media sequentially for easy collation and fulfillment.
Meet nearly any application need
The Océ Arizona 480 GT printer offers the standard table size of 49.2 by 98.4 inches and the Océ Arizona 480 XT printer offers the extra large table
size of 98.4 by 120 inches. Both can print on rigid media up to 2.0 inches thick. A Roll Media Option is available for both models to print on flexible
media up to 86.6 inches wide.
With print speeds of up to 272 square feet per hour of high quality production capacity over the broadest range of media and applications,

Océ Outlines Considerations When Selecting a Wide Format Inkjet Printer
Wide format inkjet printers enable users to print bigger printouts than the standard media sizes and can easily produce images of startlingly vivid colors,
sharp lines and precise details – something many traditional printing presses cannot. These devices range from small inexpensive consumer models to
large, more expensive machines used in a business environment and provide a variety of options and capabilities. Applications include full-color
presentations, signage, posters, banners, CAD drawings and GIS maps.
When selecting a wide format inkjet printer, it is important to select the equipment that is best suited to your business’s specific needs and goals. Océ,

The Three Main Print Technologies Used in Inkjet Printers
Wide format inkjet printers are constructed with a printhead and a series of nozzles to spray drops of ink onto paper. There are three main print
technologies found in inkjet printers.
· Aqueous: These thermal inkjet printers use a water-based ink and deliver speed, quality, reliability and versatility for indoor printing applications,
such as signage, backlit displays and photography.
· Solvent: These printers use inks that are not water-based. For example, piezo inkjet printer inks use petroleum or a petroleum by-product
such as acetone as its carrier liquid. The resulting prints are waterproof and durable – often used for heavy graphics, banners and outdoor use.
· U/V: Some piezo inkjet printers use inks that are UV-curable (i.e. the ink dries when exposed to UV light). The resulting prints are waterproof,
embossed and vibrant. The ink can be used to print on plastics and other non-porous substrates.
Selecting a Wide Format Inkjet Printer
While there are a variety of devices available, your workflow and desired output will determine which wide format inkjet printer is right for you. In order to
best make this decision, consider the following:
Output size: Wide format inkjet printers have larger maximum widths than standard printers – ranging from a width of 14” to 60”, with almost unlimited
maximum lengths. While 36-inches is typically the maximum width required for CAD drawings, some users may need to produce paper documents in a
44” width.
Application quality: If the documents being produced are intricate with fine lines or small fonts, then you will require a printing system that can accurately
and reliably produce every detail, with clarity. While 300 dots per inch (dpi) and 600 dpi are fine for most text-only documents, a higher resolution of at
least 600 x 1200 dpi is desirable for graphics and photo applications.
Media handling: If you use various sizes or types of media, it is important to be able to access multiple media rolls simultaneously. Evaluate how easy it is to
load media. Some printers offer the ability to change one roll of media while printing on another. Also important is how and where the printer outputs the
work after printing – in a basket or catch bin or collated and stacked. The capability you need is a function of the amount of printing you do and how
many users are sending files to the same printer.

holds media stationary on a flatbed vacuum table assuring registration. The true flatbed architecture allows for edge-to-edge printing (full bleed), the
printing of multiple boards simultaneously, registered double-sided prints and the printing of large displays tiled over several boards – all applications

Océ Announces New Template-Making and Masking Paper
Océ, an international leader in digital document management, today announced the availability of Océ VACUBOND paper for use with Océ Arizona®
Series UV flatbed printers to simultaneously facilitate the printing of pre-cut pieces and keep the vacuum table clean.
Because of the stationary vacuum table design, Océ Arizona Series printers can be used to print directly onto pre-cut items of any shape, up to two
inches thick. Océ VACUBOND paper can be used to print a template for accurate placement of these items on the vacuum table. An operator aligns
the pre-cut items to the template and begins printing.
Océ VACUBOND paper then serves as a mask to protect the vacuum table, particularly when overprinting (printing full bleeds) pre-cut items. Océ
VACUBOND paper strikes the perfect balance between sufficient vacuum pressure and strong pull-through to hold pre-cut pieces in place. At 48
inches wide, it is conveniently sized for Océ Arizona Series UV flatbed printers to enable the operator to easily cover a single vacuum table zone

Productivity
Océ, a Canon Group Company and an international leader in digital document management and printing for professionals, today announced the new
Océ Arizona® 360 GT and Océ Arizona 360 XT flatbed printer models with enhancements over previous models that enable its customers to
increase productivity and application versatility and open doors to technical and industrial applications. The Océ Arizona 360 GT printer will be
on display in the Océ booth #4258 at the International Sign Expo in Las Vegas, NV, April 28-30, 2011.
The Océ Arizona 360 GT model features the standard table size of 49 by 98.4 inches while the Océ Arizona 360 XT model features an extra large table
size of 98.4 by 120 inches. Both offer an Express Mode print speed of up to 377 square feet per hour, which is ideal for banner and outdoor work. A
new High Definition print mode delivers incredibly fine feature reproduction including the ability to print text as small as two-point size, enabling print
providers to offer higher-margin technical and industrial applications such as printing on lenticular lenses and membrane panels.
These new models include a UV curing system designed by Océ that provides more UV energy to support difficult-to-cure media while reducing heat
at the media surface by 50%. This improves support for heat-sensitive media such as thin polystyrene or polyester films.
Both models also feature a new-style tabletop that allows very thin media to be printed directly on the table without mechanical distortion of the media
into the vacuum holes. This enables users to print very thin, flexible materials on the flatbed table, if they do not have the Roll Media Option
installed.
Océ VariaDot® imaging technology for high quality and cost savings
The Océ Arizona 360 GT and Océ Arizona 360 XT printers use UV curable inks and Océ VariaDot imaging technology to deliver near-photographic
image quality for nearly any application. Printers equipped with Océ VariaDot technology can simultaneously jet smaller 6, 12, and 18 picoliter droplets
for the production of sharp images with smooth gradients and quartertones. This technology also provides the ability to jet larger 30, 36 and 42 picoliter
droplets for the production of dense, uniform solid colors. The result is near-photographic image quality with sharpness only before seen at resolutions of
1,440 dpi or higher. Print providers should never have to refuse a job because of their clients’ expectations for high quality output, when using an Océ
Arizona 360 GT or Océ Arizona 360 XT printer.
In addition to superior image quality, Océ VariaDot imaging technology requires only four-color inks to achieve the best image quality in the industry,
based on the six DPI/SGIA Product of the Year Awards earned by the Océ Arizona Series of printers, more than any other UV flatbed printer on the
market. The clever use of only four colors, jetted in variable-sized droplets, results in significantly lower ink consumption than printers that use fixed
droplet inkjet technology or require six colors to achieve sufficient print quality. On average, all Océ Arizona Series printers consume less than 8 ml
of ink per square meter, including all maintenance; less than any other flatbed printer Océ has tested to date.
Select the table size that fits the job
Designed as true flatbed systems, the Océ Arizona 360 GT and Océ Arizona 360 XT printers can print on a wide variety of rigid substrates up to 1.89
inches thick. Each uses a vacuum system to hold media stationary on a flat surface, assuring accurate registration even on multiple imaging passes.
Full bleeds can be printed, saving time and labor costs in finishing.
The standard size table on the Océ Arizona 360 GT printer can accommodate a 49.2 by 98.4 inch rigid board, and is designed to handle the vast
majority of display graphics jobs.
The extra large size of the Océ Arizona 360 XT printer enables printing of oversized sheets and objects up to 98.4 by 120 inches in size. Two
independent vacuum systems in the Océ Arizona 360 XT model also enable the printer to be used in a continuous imaging mode for rigid media up
to 49.2 by 98.4 inches (or a standard four- by eight-foot board). Two rigid boards can be placed on different areas of the flatbed table. While one
board is being printed, the operator can change the other. Since the system never has to stop printing for a media change, no time is lost between
prints and significantly higher net productivity can be achieved. Up to 87 four- by eight-foot boards can be produced in a single eight-hour shift
on the Océ Arizona 360 XT printer using Express print mode, making it a great solution for typical sign and display work that would otherwise go
to the screen press.

qualified include Carta Elega and Carta Integra paperboard and Kemiart topsheet used in corrugate packaging applications.
The Océ Arizona Series of flatbed printers are very versatile in a variety of applications including digital packaging – from prototype creation to custom and
short-run packaging on both paperboard and corrugate. By being able to print directly to rigid substrates up to two inches thick and a maximum eight foot
by ten foot image area, the Océ Arizona Series of printers enables packaging companies and their customers to realize a host of digitally-derived
benefits previously not cost effective when produced traditionally.
Océ North America Product Marketing Manager Randy Paar states, “Océ’s qualification of the M-real products now provides packaging companies
entering into digital packaging an immediate, high quality, proven result that not only works on the digital flatbed but traditional offset or flexographic

Qualification consisted of producing samples on the Océ Arizona printer at the Océ Knowledge Center in Itasca, IL followed by further evaluation by M-real.
The resulting image quality and ink adhesion were exceptional using the Océ IJC256 Series inks, even when printed at high volume production speeds.
Using the companion Océ ProCut™ digital cutting table for creasing and cutting, both ink and substrate demonstrated good structural performance with
virtually no cracking, chipping or scuffing of the printed package with either paperboard or corrugated board. M-real Americas Technical Marketing

The popular Océ Arizona® Series of UV flatbed printers added more awards to its list of distinguished honors. The Océ Arizona 550 XT and Océ Arizona 550

Drying Time Management

When sliding large format prints on top of each other, resistance between two sheets can cause skewed stacking

The Océ Arizona 550 XT printer uses Océ VariaDot imaging technology that enables a printhead to produce ink
droplets of variable size resulting in variable sized dots on the printed media. The ability to jet small droplets

Streamlined Workflow system – can be used to create package prototypes quickly and accurately.

Océ Expands Relationship with Converting Solutions Inc.

Large format digital printing systems for graphics applications have increased in speed, quality and versatility.

Four simple steps from artwork to finished job
Océ ProCut digital cutting solutions stand alone by offering a single, fully integrated workflow. The system

Step 1: Cut data preparation
Cut data preparation is accomplished in the easy-to-use Océ ProCut Prepress module: simply drop PDF or EPS
artwork in the Océ ProCut hot folder. The job is immediately displayed in the Océ ProCut job queue. In a matter
of seconds, the operator can identify all paths within the artwork and can freely assign each path to the relevant
cutting "layers" such as through-cutting or creasing. With two more clicks, the operator can add registration
marks and a barcode. The software then automatically generates a print file – sent to the printer complete with
registration marks and a barcode – and a separate cut file stored on the network. The data are now ready to
print and cut.
Step 2: Intelligent nesting
Nesting helps reduce media waste. Océ ProCut Software nests by actual shape rather than the PostScript®
bounding box, and rotates the shapes as needed to fit as many as possible on a given media. To use the Océ
ProCut Nesting module, the operator simply sends the job(s) to the nesting queue and specifies the number of
copies. Océ ProCut Software automatically and intelligently performs the nesting. When nesting is complete,
the operator adds registration marks and a barcode, and the data are ready to print and cut.
Step 3: RIP and print
The print file generated by Océ ProCut Software can be processed through RIP packages such as ONYX®
ProductionHouse™ V7, then sent to a printer such as the Océ Arizona® 350 GT UV flatbed printer. The
registration marks and the barcode – generated by Océ ProCut Software – will also be printed onto the
substrate. The completed print is ready for cutting.
Step 4: Automated cutting
At cutting time, the operator simply places the print on the Océ ProCut Digital Cutting Table and scans the
barcode. The vision software automatically retrieves the correct cut data from the network and – using an
on-board camera – compares the position of the registration marks in the data to those on the printed job.
Once the system has analyzed the exact image position, it starts cutting. Sophisticated optical registration
capabilities ensure perfect accuracy for any size or shape. The finished, cut pieces are ready for delivery with
minimal operator intervention, 100% accuracy and reduced turnaround time.
Reduce costs and improve quality
Océ ProCut digital cutting solutions can significantly reduce labor costs compared to manual cutting because

The Océ Arizona 200 GT is a true flatbed system that uses vacuum pressure to hold media stationary on a flat
surface, ensuring accurate registration even on multiple imaging passes. Full bleeds can be printed, saving
time and labor costs in finishing. No minimum print size means only the necessary materials are used with no
substrate waste. Unlike all other flatbed or rigid-capable printers, the Océ Arizona 200 GT prints along the
long axis of rigid media to optimize throughput – the fewer the number of printing passes over the media, the

The Roll Media Option can be added at any time, giving customers the ability to print onto flexible media
including vinyl, self-adhesive vinyl, scrim banner, textiles, paper and blue backed paper without compromising
the rigid printing workflow. Once a rigid print is finished, the print head assembly is moved to a position over
the flexible media and begins printing, while the rigid material is swapped out and the new board is placed on

users by enabling roll-based printing of flexible media to create banners, point-of-sale displays, backlit graphics,
aper-based posters and fabric panels. The ability to exactly match print quality across a wide range of media
gives users an edge in the competitive pay-for-print market when bidding on complex print campaigns. The
Océ Roll Media Option can be shipped with new orders or it can be added in the field – all existing Océ Arizona
250 GT units can be upgraded without hardware modification. The award-winning image quality of the Océ
Arizona 250 GT printer is now extended to a vast array of flexible, roll-based media.
“No compromise” roll printing
Unlike most systems, the rigid and the roll printing areas do not interfere with each other. The two printing
surfaces can be used sequentially: while one is printing, the other can be handled without disrupting the printing
process.
Once a rigid print is finished, the print head assembly is positioned over the Roll Media Option and begins printing
on flexible media. Meanwhile, the rigid material is swapped out and a new board is placed on the vacuum table
and prepared for printing. Once the flexible media printing is completed, the print head assembly moves back to
the table to resume printing on the rigid media. The roll media can then be unloaded without disturbing the rigid
rinting function. There is absolutely no down time to reconfigure the system to change from one print mode to
the other.
Unique technologies ensure accurate, high quality prints
As an added benefit of this architectural approach, the patent-pending system used to move the gantry assembly
over rigid media can also be used to make micro-corrections in position when printing on flexible media. This
enables the printer to actively correct for any media advance errors encountered as the flexible media is advanced
through the printing path. Unique to the Océ Arizona 250 GT, this technology results in the highest quality roll media
printing yet seen in a UV curable inkjet system. It greatly reduces the amount of wasted prints when media advance
errors occur because of anomalies in the roll stock.
The Océ Roll Media Option is a ‘touch-free’ system – at no point does any part of the printer or the transport contact
the printing surface of the media. Unlike roll-based systems that use pinch rollers, this feature enables customers to
print on media sensitive to mechanical marking without marring the printing surface.
Roll Media Option features
The Océ Roll Media Option can support roll-based stock from 35.4 inches to 86.6 inches wide. Maximum print
width is 86.2 inches. A cutting guide slot is included to enable the user to cut media in a perfectly straight manner
while viewing the finished print. A wind/rewind foot panel to control roll-to-roll movement is included. This feature
is used to advance and rewind media during loading and unloading and also enables the operator to view any part
of the roll before cutting and dismounting.
The Océ Roll Media Option for the Océ Arizona 250 GT is expected to be commercially available in the second
quarter of 2008. For existing Océ Arizona 250 GT customers, the field-upgrade to install the Océ Roll Media Option
can be accomplished in one-half day or less.
Océ Arizona 250 GT printer basics
The Océ Arizona 250 GT is based on a new Océ-developed platform that combines a true flatbed design and a
separate, dedicated roll-to-roll capability. It can print onto rigid media up to 49 inches wide by 98 inches long and
1.89 inches thick. With the Océ Roll Media Option, users can print onto flexible media up to 87” wide. It uses
four-color (CMYK) UV curable inks and Océ VariaDotTM imaging technology with near-photographic image
resolution and delivers a true production print speed (sellable prints) of 172 square feet per hour.
Awards
The Océ Arizona 250 GT won the Digital Printing & Imaging Association (DPI) 2007 Product of the Year Award
in the category Output Device Rigid Substrate UV. DPI Product of the Year Awards compare output from
competing devices using a common test file designed by DPI. The prints are reviewed by a panel of judges, each
with a background and expertise in digital printing and imaging. The judges look for color appeal, detail and tonality,

broad range of applications. The Océ Arizona 250 GT printer uses UV curable inks and Océ VariaDot
imaging technology to deliver near-photographic image quality, includes a true flatbed platform to print onto
a wide variety of rigid substrates, and features an optional roll-to-roll module for printing onto flexible media.
The printer is on display beginning today at the Specialty Graphics Imaging Association’s Annual Convention

Printer Basics
The Océ Arizona 250 GT is based on a new Océ-developed platform that combines a true flatbed design and
a separate, dedicated roll-to-roll capability. It can print onto rigid media up to 49” wide x 98” long x 1.89” thick
(1.25 m wide x 2.5 m long x 48 mm thick). The optional roll-to-roll module can print onto flexible media up to
87” (2.2 m wide). It uses four-color (CMYK) UV curable inks and Océ VariaDot imaging technology with
near-photographic image resolution and delivers a true production print speed (sellable prints) of 172 ft2
(16 m2) per hour.
Breakthrough Features
Image Quality. The Océ Arizona 250 GT uses Océ VariaDot imaging technology, the next evolution of piezo
inkjet technology that enables a print head to produce dots of variable size versus print heads using
fixed-droplet technology. Océ VariaDot technology creates these variable dots by dispensing ink droplets
that vary in size from six to 42 picolitres. The ability to vary the drop size to as little as 6 picolitres produces
sharp images with smoother gradients and quarter-tones. The ability to jet larger droplets up to 42 picolitres
produces dense, uniform solids. The result is near-photographic image quality with sharpness only before
seen at resolutions of 1,440 dpi or higher.
The quality of images printed on the Océ Arizona 250 GT exceed the quality of those printed on current
six-color printers using outmoded, fixed-droplet-sized print head technology. Text as small as 6 pt. is legible.
Uses Less Ink. In addition to superior image quality, Océ VariaDot imaging technology with four color inks
uses significantly less ink compared to six color printers with fixed-droplet inkjet technology. The resulting
lower ink consumption results in ink savings of up to 35 percent over fixed-droplet, six color printers.
Rigid or Flexible Media, Designed to Fit the Workflow. The Océ Arizona 250 GT is a true flatbed design that
uses a vacuum system to hold media stationary on a flat surface, ensuring accurate registration even on
multiple imaging passes. Full bleeds can be printed, saving time and labor costs in finishing. No minimum print
size means just the necessary materials are used with no substrate waste. Unlike all other flatbed or
rigid-capable printers, the Océ Arizona 250 GT prints along the long axis of rigid media to optimize throughput
– the fewer the number of printing passes over the media, the higher the average productivity.
The Océ Arizona 250 GT can print on irregularly shaped or non-square items, heavy substrates such as glass,
or materials that have an uneven surface such as wood. This is an advantage over competitive rigid-capable
printers that use belt or friction-based media feed systems, as they can only print on square-cornered, l
ightweight materials of uniform thickness. The Océ Arizona 250 GT opens the printing possibilities to more
exotic applications that command premium prices.
An optional roll-to-roll module can be added in the field, giving customers the ability to print onto flexible media
including vinyl, self-adhesive vinyl, scrim banner, paper and blue backed paper without compromising the rigid
printing workflow. Once a rigid print is finished, the print head assembly is positioned over the roll-to-roll module
and begins printing on flexible media, while the rigid material is swapped out and the new board is placed on
the vacuum table and prepared for printing. When the flexible media printing is completed, the print head
assembly moves back to the table to resume printing on the rigid media. The roll media can be dismounted
at any time without disturbing the rigid printing function, and there is no down time to reconfigure the system to
change from one print mode to the other. The modularity of this system protects the customers’ initial
investment because the roll-to-roll option can be added in the field at any time without cost penalty.
Designed for Productivity
A number of features are included to keep the printing workflow moving smoothly:
Ink System. The UV curable ink is packaged in bulk, 2-litre ink bags minimizing change-out. A quick-change
ink system reduces waste, mess, and operator intervention. Intelligent ink bag sensing alerts the operator to
an ink change requirement before running out of ink and ensures the correct ink color is installed. The
regulated ink system maintains consistent ink temperature for optimal printing, making the ambient
environmental control less critical and less expensive for the end user.
Nozzle-out Mapping. Two print heads per color enable malfunctioning nozzles to be bypassed, protecting the
image quality, reducing waste and optimizing productivity.
White Space Skipping. Large unprinted areas are skipped, increasing throughput.

The Océ Arizona 250 GT is ideal for producing a wide variety of display graphics such as event graphics,
point-of-purchase displays, limited-term signage, banners, backlit and reflective rigid displays, transit
advertising, and directional signage. But because of its ability to print on a range of materials not
predetermined simply by “square, flat and thin,” the Océ Arizona 250 GT can produce applications beyond the
norm including custom furniture, glasswork, fixture enhancement, fine art, or nearly anything that the
imagination can conceive.

Océ Helps Texas School District Integrate Students Displaced by
Hurricane Katrina
Océ announced that with the help of the Océ Special Education Platform (OSEP), the Mansfield Independent
School District (MISD) in the Dallas/Ft. Worth area was able to integrate in just one week 200 special needs
students displaced by Hurricane Katrina. As a result, the students were able to continue their developmental
programs with minimal interruption.
OSEP is a flexible, automated environment that eliminates tedious manual processes associated with
administration of Individual Education Plans (IEPs) and other Special Education documents. IEPs must be
created, managed, updated and distributed among every classroom teacher, Special Education teacher and
stakeholder for every child several times a year. This process creates a document management nightmare and
poses a serious administrative burden for school systems, with no guarantee of compliance or confidentiality.
OSEP solved these problems for MISD.
Like most public school systems, the MISD Special Education department primarily used paper forms to capture,
archive and distribute IEPs. "We were generating a ream of paper per child per year," said Special Education
Director for MISD, Jane Melms. "When you consider that we serve 2,500 special needs children, with more
coming in every day, the amount of paperwork is staggering."
"The MISD Special Education team was able to minimize paperwork, reduce the time to get IEPs to
stakeholders, and enable a smoother transition for children transferring in and out of the district, including the
influx of displaced students," said Joyce Virnich, vice president of marketing for Océ Digital Document Systems.
MISD had just completed phase I of their document management implementation at the end of August, 2005,
with back-file conversion of some 650,000 existing documents. MISD documents that required a roomful of file
drawers could be stored on a hard drive small enough to fit in the palm of one hand. Day-forward scanning is
handled by an Océ VarioPrint 2060 multi-functional system. After Hurricane Katrina devastated the Gulf Coast,
the district was able to quickly assimilate IEP documents for 200 more Special Education students displaced
by the storm.
The OSEP project had already begun to pay for itself even before the unexpected influx of additional students.
MISD saves money by improving staff efficiency and productivity and redeploying two employees to high-value
tasks. Before, when a request for documents came in from another school or district, the records manager
would have to queue the request, pull the documents, photocopy them and package them for mailing without
timely receipt confirmation. Now staff can locate documents and email them immediately, complete with
acknowledgment of receipt. "We can now search an entire million-page, indexed repository through a browser
rather than physically searching through paper documents. And the images appear much cleaner than our old
paper documents," said Melms. "When you're growing at a 10 percent clip and don't have to hire new
employees to keep pace, the result is measurable cost savings. With the Océ program, we can now spend
more time concentrating on the children."
